Receipt templates by business type
The skeleton of a receipt never changes, but the emphasis does. A café receipt is about speed and a short item list; a rent receipt is about proving a period was paid for. Here are four common cases and the specific field that matters most in each.
Café and restaurant
Short item names, quantities that matter, and a table or order number so the kitchen and the till agree. Service charge, if you add one, must be a separate line above the total — folding it into item prices is the fastest way to a complaint. Many countries require the tax rate on prepared food to be shown distinctly from the rate on packaged goods, so if you sell both, split the tax lines rather than blending them into one figure.
Retail
The barcode or SKU next to each item, because that is what makes a return processable without argument. A returns policy line in the footer with the deadline spelled out saves an enormous amount of counter time. If you sell anything with a warranty, print the serial number on the receipt — the customer will lose the box long before they lose the receipt, and the serial is what the manufacturer will ask for.
Freelance and services
Describe the work in the language of the contract, not your internal shorthand: 'brand identity, phase 2 of 3' rather than 'design'. Reference the invoice number the payment settles, since your client's bookkeeper is matching one to the other. Note the payment method and the date the funds actually cleared, not the date they said they sent it — for a freelancer those can be a fortnight apart, and the cleared date is the one that belongs in your books.
Rent and recurring payments
The single most important field is the period covered — 'rent for March 2026', not just the date of payment. Name both parties and the property address, state the amount and the method, and number them in a series that runs across the tenancy. A tenant proving a year of payments needs twelve receipts that clearly cover twelve consecutive periods with no gaps, which is impossible to demonstrate if each one only shows the day the money moved.
Frequently asked questions
Should I use the same numbering for every type?
One continuous series across your whole business is simplest to defend and hardest to accidentally duplicate. If you need to separate them, use a prefix rather than a parallel number range — RENT-0041 and SALE-0041 can coexist, while two receipts both numbered 41 cannot.
Do I need a template at all?
For anything recurring, yes — consistency is what makes a set of receipts readable as a series rather than a pile. Ad-hoc receipts are fine one at a time and become unusable in volume.
Can a receipt cover several payments?
It can, and for things like a settled account it often should, but list each payment with its own date and amount rather than showing a single lump. A single figure covering three months tells the reader nothing about when anything was actually paid.
